Nyteca® App features: six modules, one data model
From mid-November 2026, the Nyteca® App covers the daily work of a fiduciary and tax firm, from lead to delivered result. Every module works on the same clients, cases and documents – and every firm configures it itself.
Module 1 of 6
Client onboarding & KYC
Enquiry, KYC, data protection and power of attorney through one link – with screening, risk score and approval levels.
A new dossier is a lead. The client fills in the enquiry, the KYC questionnaire, data protection and the power of attorney through one link – without a login, with intermediate saving and a signature. Internally, verification, screening, register comparison and the risk profile follow. Only the approval turns the lead into a client.
- Public form journey with status model and conditional logic
- Screening for sanctions, PEP and media
- Risk rule set with points, thresholds and exclusion criteria
- Several KYC runs per client, with history
- Status model from “New” to “Approved”, including rejection, block and “not pursued”
- Chain of reminders with deadlines; dossiers without a response close automatically on request
- Approval by risk level: low by the case handler, medium by the compliance officer, high by two people including management
- Follow-up per risk level, KYC restart with a reason and a complete history
- Start
- Onboarding
- Review
- Completion
Verification, screening, register comparison and the risk profile are running.
Module 2 of 6
Quotes & engagements
Quote from the service catalogue and rates, approval, public link, acceptance with signature, engagement confirmation.
The quote comes from the firm’s service catalogue: services, rates, surcharges, validity. After internal approval the client receives a link, selects the items, checks the preview and signs. The engagement confirmation then sits in the dossier.
- Service catalogue, rates and surcharges per firm
- Internal approval before sending
- Online acceptance with electronic signature
- Engagement confirmation filed automatically in the dossier
- Items from the service catalogue with rate type (flat fee, hourly rate, tiered) and an optional reference quantity
- Status from Draft through Approved and Sent to Accepted
- Quote number, sending date and validity in the overview of all quotes
- Acceptance is recorded as an event in the audit log
- 1 Preview
- 2 Code
- 3 Signature
Module 3 of 6
Documents & templates
Versioned Word templates, rendering to PDF/A, signature run, a dossier per client and Nyteca® Drive as a network drive.
Every client has a dossier with six fixed folders: Enquiry and quote, KYC, Data protection, Powers of attorney, Review, Ongoing engagement. Documents are generated from Word templates, uploaded, assigned through the inbox or saved via Nyteca® Drive – and archived as PDF/A.
- Keep using your own Word templates, versioned and approved
- docx → PDF/A for audit-proof archiving
- Inbox with a suggestion for client, category and year
- Nyteca® Drive: client folders in Explorer and Finder
- Template types from power of attorney and data protection through quote and engagement confirmation to the case result document
- Mandatory placeholders are checked on upload; without your own version the delivered base text applies
- Versions are kept, earlier versions can be viewed at any time
- Copies of identity documents are stored separately; every access is logged
Revocation is not deletion: KYC uploads, consents and powers of attorney stay in the dossier.
Module 4 of 6
Cases & deadlines
Cases with status, list of required items and cost capture, series creation across many clients, deadline register with reminders.
A case bundles everything that belongs to one service in one tax year: responsible people, people involved, expected documents, deadline, e-mails, case chat. The deadline register shows every deadline across all clients – as a table or a calendar.
- Serienfall: one case for hundreds of clients in a single run
- List of required items per case, request missing documents by e-mail
- Deadline register across all clients, with a chain of reminders
- E-mail correspondence directly on the case
- Case types predefined or your own; Serienfall carries over the document types from previous years
- Key figures Overdue, Due soon, Open, AI suggestions and Done at a glance
- Extend deadlines with a reason for the change; completion with date and person
- Cost capture on the case, export of the deadlines as CSV
Assigned via the case reference in the subject · 3 e-mails
Module 5 of 6
AI assistance
Suggestions for the inbox, e-mail replies, deadlines and cases. Case chat for every case and mandate. The AI suggests, the human confirms.
The Nyteca® App uses AI in clearly named places: inbox, case suggestions, deadlines, e-mail replies and case chat. Every result is a suggestion, labelled with its origin. It only takes effect once a person confirms it – and that confirmation is in the audit log.
- Document analysis and classification in the inbox
- Drafts for e-mail replies and deadline suggestions
- Case chat with a clear context boundary (case first, mandate as escalation)
- Firm-specific AI instructions, every suggestion is confirmed
- The case chat knows case and engagement data, notes and the filed documents with category, year, status and deadline
- Without an assignment to a case or engagement, the chat in the app sees none of the firm’s client, case or document data
- AI instructions per place of use: the firm’s knowledge is passed along automatically with every call
- The labels “From an AI suggestion” and “Written with an AI draft” stay visible on the result
- Client
- A. Keller
- Category
- Salary statement
- Year
- 2026
- Case
- Tax return 2026
All AI results are suggestions. They only take effect once a person has confirmed them.
Module 6 of 6
Firm configuration
Your own fields and criteria, service catalogue, letterhead, locations, roles and retention rules – versioned per firm.
Every firm is a tenant of the platform in its own right, with its own configuration. What the firm changes becomes a new version – the delivered values stay readable, and deviations from the standard require a reason that appears in the audit trail.
- Your own fields and check criteria without programming
- Letterhead variants per location
- Groups and roles with an invitation link
- Retention rules and audit log for data protection
- Risk rule set: point values, thresholds and trigger levels – can only be tightened, never quietly weakened
- Document categories with a filing folder, service catalogue with target group Private individuals or Companies
- E-mail accounts (IMAP/SMTP) and signatures with placeholders for the whole firm
- Automation can be switched on explicitly per step – by default a human decides
Saving creates a new version. The previous one is kept.
Six surfaces your team will work on
The modules above are the data model. These are the interfaces people work on.
Client portal
Enquiry, KYC, consent and quote run through public links – no login, with signature.
Nyteca® Drive
Client folders as a network drive on PC and Mac. Save in the file explorer, instantly in the case file.
Form editor
Create digital forms from PDF, Word or image, send them to clients, review the answers in structured form.
Document editor
Your own documents and templates with text blocks, letterhead and free text – output as Word or PDF/A.
Email client
IMAP and SMTP directly in the platform. Emails are assigned to the case automatically via the case reference.
Audit log
Complete record of every action – who changed, checked, approved or sent what, and when.
What actually changes day to day
No key figures, but the working steps. On the left the situation in many firms, on the right the same step with the Nyteca® App.
Client onboarding
Before: Data arrives by e-mail, is retyped, forms travel back and forth as scans.
With the Nyteca® App: One link: enquiry, KYC, data protection, power of attorney. The client fills it in, the firm checks it and transfers it into the master data.
KYC and risk
Before: Checklist in Word, screening by hand, risk classification without a fixed yardstick.
With the Nyteca® App: Screening, register comparison and point values according to the firm’s rule set. Approval level by risk: case handler, compliance officer or two people including management.
Quote
Before: Quote as a PDF by e-mail, acceptance by reply e-mail or a signature on paper.
With the Nyteca® App: Quote from the catalogue, internal approval, online acceptance with a signature, engagement confirmation in the dossier.
Documents
Before: Filing in network drive folders, versions in the file name, PDF without an archive standard.
With the Nyteca® App: Dossier with fixed folders, versions in the system, PDF/A for audit-proof filing – visible in Explorer and Finder.
Inbox
Before: Every file is opened, assigned to the client and moved into the right folder.
With the Nyteca® App: The app suggests client, category, year and case. One click confirms and files it.
Deadlines
Before: An Excel list per case handler, reminders in the calendar, no overall view.
With the Nyteca® App: A deadline register across all clients, Serienfall sets hundreds of deadlines on the same day, extension with a reason.
Before: Correspondence in the personal mailbox, assignment to the case from memory.
With the Nyteca® App: E-mails run through IMAP/SMTP in the platform and attach to the case automatically via the case reference.
Evidence
Before: Who approved what and when is – if recorded at all – in e-mails and notes.
With the Nyteca® App: Every action with time, person and event in the audit log. Revocation instead of deletion for evidence.
See how it works, from lead to result for how the steps fit together.
