Six modules on one data model, in the order of a firm’s working day: from the first enquiry through KYC, quote and case to the filed document. The Nyteca® App arrives in mid-November 2026; in it, every firm configures its own fields, criteria, templates and rates.
Enquiry, KYC, data protection and power of attorney through one link – with screening, risk score and approval levels.
What the module takes on
Public form journey with status model and conditional logic
Screening for sanctions, PEP and media
Risk rule set with points, thresholds and exclusion criteria
Several KYC runs per client, with history
Who it is for
Firms that provide services subject to the anti-money laundering act and have to document their due diligence obligations
Teams where client data arrives by e-mail today and KYC runs on paper
Compliance officers who organise approvals by risk level and under the four-eyes principle
Outcome
One dossier per enquiry: details, screening result, risk score, approval and signatures in one place
With the KYC approval the lead becomes a client, without anyone retyping data
Every check step is recorded in the audit log with date and person, including a screening without hits
Module 2 of 6
Quotes & engagements
Quote from the service catalogue and rates, approval, public link, acceptance with signature, engagement confirmation.
What the module takes on
Service catalogue, rates and surcharges per firm
Internal approval before sending
Online acceptance with electronic signature
Engagement confirmation filed automatically in the dossier
Who it is for
Firms with a service catalogue and hourly rates that build every quote by hand in Word today
Partners who want to approve quotes before they go out
Engagements that should start without an on-site meeting
Outcome
Quote from the catalogue and rates; price deviations are justified and recorded
Acceptance through a public link with an electronic signature
The engagement confirmation is filed in the dossier automatically, the first case can be opened
Module 3 of 6
Documents & templates
Versioned Word templates, rendering to PDF/A, signature run, a dossier per client and Nyteca® Drive as a network drive.
What the module takes on
Keep using your own Word templates, versioned and approved
docx → PDF/A for audit-proof archiving
Inbox with a suggestion for client, category and year
Nyteca® Drive: client folders in Explorer and Finder
Who it is for
Firms with Word templates grown over the years that should not be rebuilt
Teams that file documents in Explorer or Finder rather than in a web interface
Audit bodies and firms with requirements for audit-proof filing
Outcome
Templates versioned and approved, output as Word or PDF/A
Inbox with a suggestion for client, category and year; one click confirms and files
A dossier per client with a permanent file, visible in the Nyteca® App and in Nyteca® Drive
Module 4 of 6
Cases & deadlines
Cases with status, list of required items and cost capture, series creation across many clients, deadline register with reminders.
What the module takes on
Serienfall: one case for hundreds of clients in a single run
List of required items per case, request missing documents by e-mail
Deadline register across all clients, with a chain of reminders
E-mail correspondence directly on the case
Who it is for
Firms with recurring cases across many clients: tax return, VAT, annual financial statements
Engagement leads who keep their deadlines in Excel or Outlook today
Teams that request documents by e-mail and have to track what comes back
Outcome
Serienfall: the same case for many clients, the same deadline, on the same day in the deadline register
A list of required items per case, taking over the document types from previous years
On completion, if wanted, the follow-up case “Review of the assessment decision”
Module 5 of 6
AI assistance
Suggestions for the inbox, e-mail replies, deadlines and cases. Case chat for every case and mandate. The AI suggests, the human confirms.
What the module takes on
Document analysis and classification in the inbox
Drafts for e-mail replies and deadline suggestions
Case chat with a clear context boundary (case first, mandate as escalation)
Firm-specific AI instructions, every suggestion is confirmed
Who it is for
Firms that want to use AI but have to keep responsibility with their staff
Teams with a high volume of e-mails and scans in the inbox
Firms that want to give the AI their own rules: categories, tone of voice, responsibilities
Outcome
Suggestions instead of searching: client, category, year, deadlines and draft replies
Every suggestion is confirmed or discarded; the decision stays with a person
The firm is the boundary: no suggestion is generated with another firm’s data
Module 6 of 6
Firm configuration
Your own fields and criteria, service catalogue, letterhead, locations, roles and retention rules – versioned per firm.
What the module takes on
Your own fields and check criteria without programming
Letterhead variants per location
Groups and roles with an invitation link
Retention rules and audit log for data protection
Who it is for
Firms with their own check criteria and fields that do not want custom development
Groups with several locations and letterhead variants
Data protection officers who have to govern retention and access
Outcome
Fields, criteria, service catalogue and rates versioned per firm
Locations with their own letterhead; if a location has none, head office applies
Staff by invitation link, groups for organisation, permissions through the “Compliance” and “Management” markers
Interplay
One data model, no interfaces between the modules
The client from onboarding is the same client in the case, in the dossier and in the deadline register. What is created in one module never has to be entered a second time.
One firm, one environment
Every firm works in its own closed environment with its own configuration. There is no switching between firms and no shared records.
One audit log for everything
Creating, checking, approving, sending, deleting: every operation from every module is in the same log with timestamp and person.
Suggestion, then confirmation
Inbox, deadlines or e-mail: the AI delivers suggestions, a person confirms. This rule applies in every module without exception.
