Your templates stay Word files. Nyteca® fills the placeholders, renders the result and files it.

You upload your own .docx versions of the document templates, check them and activate them. If a mandatory placeholder is missing, the version does not go live – you add it in Word and upload again. Without your own version, the delivered base text applies. Letterhead is available per location.

Email

Outlook, IMAP and SMTP

Your mailbox stays where it is. Nyteca® reads along via IMAP, sends via SMTP – and assigns every email to the case.

Email accounts are stored per firm with their IMAP and SMTP host. Outgoing emails carry the case reference in the subject; replies therefore attach to the case automatically. An incoming email becomes a lead in one click – Nyteca® suggests the name and the request from the subject and the text.

Nyteca® Drive

Windows Explorer and macOS Finder

Nyteca® Drive provides the firm's client folders as a network drive. Save as always – and it is in the client file.

Every staff member connects with their own login and sees the same clients as in the app. For each client the drive shows the six client-file folders and a folder «Cases» with one subfolder per case.

  • A file in the client folder is classified by the AI (category, year, case) and moves into its client-file folder once confirmed in the app.
  • A file placed directly in a client-file folder is filed there immediately; a file in a case folder is assigned to that case.
  • The upload appears in the audit log under the name of the staff member.
  • Nothing is deleted in the drive and nothing is moved between folders – that stays with the app.
  • Whatever is uploaded or created in the app also appears in the drive.
Archive and signature

PDF/A and electronic signature

What counts legally must stay unchanged and be attributable to a person. The Nyteca® App has both built in.

PDF/A for audit-proof filing

Generated documents are rendered to PDF/A-2b, the ISO format for long-term archiving: fonts embedded, no external dependencies, no active content. Powers of attorney are created directly as PDF/A.

  • Rendered from the Word template, the Word file also stays available
  • Earlier versions remain viewable in the client file
  • Signed documents are available to the client after signing
  • Uploaded documents – via app, Drive or document inbox – keep their original format

E-signature for quotes, powers of attorney and consents

The client signs with mouse or finger in the browser – via a purpose-bound link, without a login. Signature, place, time and document are filed together and recorded in the audit log. For companies, the signature blocks follow the signing authority: sole or joint signature.

Data in, data out

CSV import, CSV export and AI import

Existing clients come from other systems – and your lists must be able to leave Nyteca® again, too.

CSV import

Take over clients from other systems' exports – as CSV or Excel. The rollout starts with your master data, not with an empty system.

CSV export

Export lists such as the deadline register – with the official deadline, extension date, reason for postponement, completion date and note. For analysis in Excel or as an attachment for the audit.

AI import from PDF, Word or image

Client lists as PDF or scan, forms from PDF, Word or image: the AI reads the document visually and builds an editable draft from it – master data for review, forms with explanatory texts and signature fields. Nothing is taken over without review.

Bulk import up to 100 MB per file. Very large files are split so that the import stays complete.
