Example scenarios for a Nyteca® App rollout

Three typical firms, described as starting point, implementation and outcome. The scenarios are constructed and show how a rollout of the Nyteca® App can run from mid-November 2026. We will only publish real references once firms have approved them.

Case example 1

From the Excel deadline register to the Serienfall

Around half of the mandates are tax returns for private individuals. Every year the cases were created one by one, the deadlines kept in an Excel list and the paperwork requested by email.

What came back was spread across mailboxes and the file server. Only the person in charge knew whether a client file was complete.

Implementation

  1. 1Client master data imported by CSV, service catalogue and rates stored in the firm configuration.
  2. 2One Serienfall for all private individuals for the tax year: one deadline, one required documents list, the document types carried over from previous years.
  3. 3Nyteca® Drive connected on every workstation, so that filing stays in Explorer and still ends up in the client file.

Outcome

  • Every tax return case is in the deadline register on the same day; the Excel list has been replaced.
  • Missing paperwork is requested from within the case, and what comes back sits on the case instead of in a mailbox.
  • The required documents list shows what is missing per client. Completeness no longer depends on one person’s memory.

Client onboarding without paper or retyping

New mandates came through referrals. The initial details arrived by email, the KYC form was printed, signed and scanned, and the power of attorney was sent separately.

The quote was written in Word and sent by email. Whether and when it had been accepted was recorded nowhere binding.

Implementation

  1. 1Public form journey with the paths tax advisory, bookkeeping and company formation; the firm’s own check criteria and risk rule set configured.
  2. 2Approval levels defined: single approval at low risk, two people including management at high risk.
  3. 3Existing power of attorney and data protection templates taken over as Word templates; quotes from the service catalogue, accepted with an electronic signature.

Outcome

  • One link replaces email, printout and scan. The details go straight into the client file, with nothing transferred by hand.
  • Screening, risk score and approval are documented per client with date and person, including for rejections.
  • The quote is accepted online; the engagement confirmation is in the client file before the first case is opened.
Case example 3

Three locations, one client base

Starting point

Every location kept its own folder structures and its own letterhead. When a client moved to another location, documents travelled by email and were filed twice.

For the audit, approvals and dispatches could only be reconstructed with effort, because they sat in different systems.

Implementation

  1. 1One environment for the whole group: locations with their own letterhead in the configuration, groups per location, permissions through the compliance and management flags.
  2. 2A uniform filing structure with client file and cases; inbox with a suggestion for client, category and year, confirmed by the person in charge.
  3. 3Retention rules defined; the audit log serves as the basis for data protection evidence and the internal audit.

Outcome

  • A client has one client file, regardless of location. Duplicate filing disappears, because there is only one place.
  • Letters and reports automatically carry the letterhead of the responsible location.
  • Who approved or sent what and when can be traced in the audit log, without anyone documenting it separately.
Rollout

How a rollout runs

From mid-November 2026, every rollout follows the same pattern: set up, import, train, go live. What differs is the configuration of your firm.

    Set up the firm: master data, locations, service catalogue, rates, letterhead, your own fields and check criteria.

  2. 02

    Take over the templates: upload existing Word templates, add placeholders, version them and approve them.

  3. 03

    Import clients: by CSV or AI import, with client file and open cases.

  4. 04

    Train the team and go live: assign roles and groups, connect Nyteca® Drive, create the first Serienfall.
